Follow these steps in order. Each one builds on the last, and skipping ahead — especially the testing step — is the most common reason backups fail silently.

Decide what needs backing up

Before touching any software, walk through your files and identify what is truly irreplaceable. Focus on documents, photos, videos, financial records, creative projects, and any work files stored locally. The 3-2-1 rule is a widely used framework: keep 3 total copies of your data, stored on 2 different types of media, with 1 copy held offsite (away from your home). In practice for a typical household, that means your primary computer, an external drive, and a cloud backup service. This combination means no single event — a drive crash, a house fire, or a theft — can wipe out every copy simultaneously.

Set up your local backup with built-in tools

On Windows: Plug in your external drive, then go to Settings > Update & Security > Backup (Windows 10) or Settings > System > Storage > Advanced storage settings > Backup options (Windows 11). Turn on File History, select your external drive, and choose which folders to include. Set it to run at least hourly.

On macOS: Connect your external drive and open System Settings > General > Time Machine. Click Add Backup Disk, select your drive, and enable automatic backups. Time Machine saves hourly snapshots by default.

Tip: Label your external drive clearly so you don't accidentally reformat it later thinking it's empty storage.

Add a cloud backup as your offsite copy

A cloud backup service continuously uploads your files over the internet to remote servers. Unlike cloud sync services (which mirror a folder and can propagate deletions instantly), a dedicated cloud backup retains multiple versions of files over time. Look for a service that offers version history and automated background operation. Most services provide a desktop app that runs quietly in the background. Configure it to cover the same folders you identified in Step 1.

Schedule and automate your backups

Manual backups get skipped. Both File History and Time Machine run automatically once configured, but verify that automatic backup is actually enabled and that your external drive is connected regularly — at least a few times per week. For the cloud service, confirm the app launches at login and isn't being blocked by firewall or sleep settings. Check your cloud service's dashboard occasionally to confirm uploads are current.

Test your restore process

Choose a file you don't currently need — a photo or an older document — and deliberately restore it from each backup destination. On File History, right-click a file in File Explorer and choose Restore previous versions. On Time Machine, enter Time Machine and browse to the file. For cloud backups, use the service's web interface or app to download the file. Confirming the process works now means you won't be learning it under stress after a real loss.

Tip: Set a calendar reminder every three months to repeat this test and confirm your backup is still running correctly.

A Backup You Never Test Is Unreliable
